Microsoft 365 for Gibraltar Businesses: Setup, security & managed support

What is Microsoft 365?

Microsoft 365 is a cloud-based subscription service that combines the familiar Office applications — Word, Excel, PowerPoint, and Outlook — with business email, cloud storage, video conferencing via Teams, and built-in security tools. Over 430 million people worldwide use Microsoft 365, and more than 90% of Fortune 500 companies rely on it for daily operations.

For Gibraltar businesses, Microsoft 365 replaces the need to buy, install, and maintain separate software licences, email servers, and file storage systems. Everything is hosted securely in Microsoft’s cloud, accessible from any device, and updated automatically. You pay a predictable monthly fee per user, and your data is protected by enterprise-grade security infrastructure.

However, buying a Microsoft 365 licence is only the first step. Configuring it properly, keeping it secure, and managing it over time is where most businesses need professional support — especially in regulated industries like gaming, finance, and legal services, which are central to Gibraltar’s economy.

Which Microsoft 365 plan is right for your Gibraltar business?

Microsoft offers three Business plans for organisations with up to 300 users. Each builds on the previous one, adding more features. The right choice depends on how your team works, how sensitive your data is, and how much control you need over devices and access.

Businesses handling sensitive data or requiring compliance

For most Gibraltar businesses with 10–50 employees, Business Standard is the most common starting point. Business Premium becomes the right choice when you handle sensitive client data, operate in a regulated industry, or need to control what happens on company laptops and mobile phones.

What’s changing in July 2026

Microsoft has announced pricing and feature updates effective 1 July 2026. Most Business and Enterprise plans will see price increases of 5–17%, but Microsoft is also bundling significant new capabilities into existing licences:

  • Copilot Chat: AI-assisted drafting, data analysis, and meeting preparation will be available across all plans — not just as a paid add-on.
  • Safe Links: Real-time URL checking to protect against malicious links in emails and documents, now included in Business Basic, Business Standard, and Office 365 E1.
  • Defender for Office 365 Plan 1: Advanced anti-phishing and malware protection, previously a separate purchase, now bundled into E3 licences.
  • Intune enhancements: Remote Help, Advanced Analytics, and extended endpoint management included in E3 and above.
  • Business Premium stays at £22/user/month — making it arguably the best value plan in the entire M365 lineup for security-conscious SMBs.

If your renewal falls before July 2026, you can lock in current pricing. Existing customers remain on current rates until their next renewal date.

Why Gibraltar businesses need managed Microsoft 365 support

Buying a Microsoft 365 licence gives you access to powerful tools — but it does not make your business secure. Microsoft operates a shared responsibility model: they secure the infrastructure, but everything above that — user accounts, access controls, device security, data sharing settings — is your responsibility.

This matters because the default settings in a new Microsoft 365 tenant are not secure enough for most businesses. According to Microsoft’s 2024 Digital Defence Report, one in three SMBs has been a victim of cyberattacks including ransomware, phishing, or data breaches. Phishing alone accounts for 43% of malicious emails, and the average cost of an SMB breach can reach £200,000 or more.

For Gibraltar specifically, the challenge is compounded by several local factors:

  • Small internal IT teams: Most Gibraltar businesses with 10–50 employees don’t have a dedicated IT security specialist. Microsoft 365 security requires ongoing attention, not a one-time setup.
  • Regulated industries: Gaming, finance, and legal firms in Gibraltar face compliance requirements that demand properly configured access controls, audit logging, and data protection — all of which require expert M365 configuration.
  • Power outage risk: Gibraltar’s recurring power interruptions make cloud resilience and backup configuration critical. A properly managed M365 environment includes failover planning and tested backup procedures.
  • Talent scarcity: Finding Microsoft-certified engineers locally is difficult. A managed service provider gives you access to that expertise without the recruitment cost.

What does managed Microsoft 365 support include?

When Netgear Business manages your Microsoft 365 environment, the following services are included as part of your fixed monthly agreement:

  • Licence management and right-sizing: We ensure every user has the correct licence for their role — no overspending on features they don’t use, and no gaps in protection.
  • Tenant setup and configuration: We configure your Microsoft 365 tenant to best-practice security standards from day one, including email, Teams, SharePoint, and OneDrive.
  • User provisioning (joiners and leavers): When staff join or leave, we handle account creation, permissions, email setup, and secure offboarding — ensuring no orphaned accounts or data leakage.
  • MFA and Conditional Access: We enforce multi-factor authentication (which blocks 99.9% of account compromise attacks) and configure Conditional Access policies that control who can access what, from where, and on which devices.
  • Microsoft Defender for Business: We deploy and monitor endpoint protection across your laptops and mobile devices, with real-time threat detection and automated response.
  • Intune device management: We enrol and manage company devices, enforce compliance policies (encryption, firewall, antivirus), and enable remote wipe if a device is lost or stolen.
  • Email security (SPF, DKIM, DMARC): We configure your email authentication records to prevent spoofing and improve deliverability — reducing the risk of phishing attacks impersonating your business.
  • Backup and data protection: Microsoft does not back up your data by default. We implement third-party backup for Exchange, SharePoint, OneDrive, and Teams to protect against accidental deletion, ransomware, and data loss.
  • Ongoing monitoring and support: We proactively monitor your tenant health, licence usage, security alerts, and compliance posture — resolving issues before they impact your business.
  • Quarterly business reviews: Every quarter, your dedicated Technical Account Manager reviews your M365 environment with you, covering security posture, licence optimisation, and technology roadmap recommendations.

Microsoft 365 security: What every Gibraltar business should have in place

Regardless of which plan you use, there are six security controls that every Gibraltar business should have configured in their Microsoft 365 environment. These form a practical baseline that significantly reduces risk without requiring enterprise-level budgets.

Security Control

What It Does

Why It Matters

Multi-factor authentication (MFA)

Requires a second verification step (e.g. phone app) at sign-in

Blocks 99.9% of password-based attacks. Non-negotiable for any business.

Conditional Access

Controls access based on device, location, and risk level

Prevents sign-ins from unknown devices or suspicious locations.

Email filtering & anti-phishing

Scans incoming emails for malware, spoofing, and phishing attempts

Phishing accounts for 43% of malicious emails — your first line of defence.

Data loss prevention (DLP)

Prevents sensitive data from being shared or emailed inappropriately

Essential for gaming, finance, and legal firms handling KYC or client data.

Audit logging

Records who did what, when — across email, files, and admin actions

Critical for compliance, investigations, and insurance requirements.

Least-privilege admin roles

Limits admin access to only what each person needs

Reduces damage if an admin account is compromised.

If you’re unsure whether your current Microsoft 365 environment has these controls in place, Netgear Business offers a free, no-obligation M365 security review. We’ll assess your tenant and provide a clear recommendation.

Business Standard vs Business Premium: Which should you choose?

This is the most common question we hear from Gibraltar business owners. The simplest way to think about it:

Business Standard = productivity (email, Teams, files, Office apps).
Business Premium = productivity plus protection and control (identity, devices, phishing/ransomware, data protection).

Business Premium doesn’t change how people work — it changes how the business is protected.

If your team uses company laptops outside the office, accesses email on personal phones, handles sensitive client data, or operates in a regulated sector, Business Premium provides the security tools you need — Defender, Intune, Conditional Access, and Data Loss Prevention — at no additional cost beyond the licence itself.

At £22/user/month (unchanged in July 2026), Business Premium is arguably the best-value security package Microsoft offers for SMBs. To put that in perspective: a single cybersecurity incident can cost an SMB over £200,000 in recovery, lost revenue, and reputational damage.

Our recommended upgrade path

We don’t pressure clients into upgrading. Instead, we follow a structured approach:

  1. Free review: A 20–30 minute assessment of your current M365 environment — no commitment, no changes made.
  1. Clear recommendation: We tell you honestly whether Premium adds genuine value for your business, or whether Standard remains the right choice.
  1. Pilot on management devices first: If Premium is recommended, we start with a small pilot — typically on 3–5 management-team devices — so you can see the approach in practice before rolling out to the wider team.
  1. Controlled rollout: Once validated, we extend the configuration across all users and devices with minimal disruption.

How Netgear Business manages Microsoft 365 in Gibraltar

Netgear Business is Gibraltar’s leading managed IT services provider, supporting over 1,000 local businesses since 2002. We are not affiliated with Netgear Inc. (the US networking hardware company) — we are a locally owned, Gibraltar-based MSP with 20+ years of experience serving the local business community.

Our Microsoft 365 managed service is designed specifically for Gibraltar businesses with 10–100 employees who need their technology to work reliably, securely, and without surprises. Here’s what makes our approach different:

  • Dedicated Technical Account Manager: Every client is assigned a named TAM who understands your business, your people, and your technology. They’re your single point of contact for everything M365-related.
  • Structured onboarding: New clients receive a comprehensive IT audit in the first month, followed by a technology roadmap with prioritised recommendations. This ensures your M365 environment is optimised from day one.
  • Quarterly business reviews: Every quarter, we sit down with you to review your security posture, licence usage, and technology roadmap — proactively identifying improvements rather than waiting for problems.
  • Local on-site support: When something needs hands-on attention, we’re physically in Gibraltar — not in a remote call centre. Our team can be on-site quickly when hardware or in-person support is needed.
  • Industry expertise: We work extensively with businesses in Gibraltar’s gaming, finance, legal, retail, and hospitality sectors. We understand the compliance requirements, the operational pressures, and the local risks (including power outages and connectivity challenges).
  • ConnectWise RMM: We monitor your environment 24/7 using industry-standard remote monitoring and management tools, catching issues before they impact your business.

Frequently asked questions

How much does Microsoft 365 cost for a Gibraltar business?

Microsoft 365 Business plans range from £6–£22 per user per month (annual commitment). From July 2026, Business Basic rises to £7 and Business Standard to £14. Business Premium remains at £22. Netgear Business charges a separate fixed monthly fee for managed support, which covers licensing management, security configuration, monitoring, and ongoing administration.

Can I migrate from Gmail or another email platform to Microsoft 365?

Yes. We handle full email migrations from Gmail (Google Workspace), other hosted email providers, and on-premises Exchange servers. A typical migration for a 20-user business takes 1–2 weeks including planning, data transfer, DNS cutover, and user familiarisation sessions. Outlook-to-Outlook transitions require approximately 30 minutes of training per user; Gmail-to-Outlook transitions require approximately 1 hour per user.

Do I really need Business Premium, or is Standard enough?

Business Standard is excellent for productivity — email, Teams, Office apps, and file sharing. Business Premium adds critical security and device management capabilities: Defender, Intune, Conditional Access, and DLP. If your staff access company data on laptops or phones outside the office, handle sensitive client information, or operate in a regulated industry, Premium is the responsible choice. We offer a free review to help you decide.

Does Microsoft back up my data?

Not in the way most businesses expect. Microsoft guarantees infrastructure uptime, but it does not protect against accidental deletion, ransomware encryption, or malicious insider actions. We implement dedicated third-party backup for your Exchange mailboxes, SharePoint sites, OneDrive files, and Teams data — ensuring you can recover quickly if anything goes wrong.

How long does a Microsoft 365 migration take?

For a straightforward migration (10–30 users, moving from one email platform to Microsoft 365), the typical timeline is 1–2 weeks from project start to completion. More complex migrations involving large mailboxes (30GB+), legacy PST files, or SharePoint document restructuring may take 3–4 weeks. We provide a detailed project plan and timeline before any work begins.

Is Microsoft 365 secure enough for regulated industries in Gibraltar?

Microsoft 365 Business Premium, when properly configured, meets the security requirements for most Gibraltar-regulated industries including gaming, finance, and legal. Key controls include MFA, Conditional Access, Defender for Business, DLP, audit logging, and Azure Information Protection. Netgear Business also supports clients through Cyber Essentials and ISO 27001 certification, both of which align closely with a properly hardened M365 environment.

What happens to my data if I change IT provider?

Your Microsoft 365 data belongs to you. If you choose to move to a different provider, we will co-operate fully with the transition. Your email, files, and Teams data remain in your Microsoft tenant — nothing is locked to Netgear Business. We believe in earning your ongoing trust, not trapping you in a contract.

Can you manage Microsoft 365 alongside my existing IT team?

Yes. We offer both fully managed and co-managed Microsoft 365 support. In a co-managed arrangement, we handle M365 security, licensing, and administration while your internal team focuses on user support, projects, or other priorities. This is common for Gibraltar businesses with a small internal IT resource who need specialist Microsoft expertise.
